Full Time Service Clerk

Location: Grand Meadow, MN - Posted Nov 16, 2018

Department:  Service/Administration

Reports to:    Service Manager

Supervises:   None


Purpose:

Performs a full range of general office/clerical duties. Directs phone calls received at the location to the appropriate dealership personnel. Perform in-store customer service. Assist the Service Manager in invoicing, maintaing accurate and on-time reports and records relative to the service department's operation within the dealership.


Responsibilities:

  • Primary focus person for answering all incoming calls to the store
  • Field internal and external customer inquiries for the Service Department
  • Performs daily cash reconciliation, posting credit card deposits, checks and cash
  • Prepares bank deposits
  • Post parts invoices to accounts payable
  • Maintains accounts payable and accounts receivable records
  • Receives and distributes all incoming mail and parts run paperwork
  • Order and maintain inventory of office supplies
  • Balances John Deere statements
  • Verifies payroll and time off hours and submits them to payroll manager on a bi-weekly basis
  • Reconciliation of invoices and receipts
  • Input new customers in to required data bases
  • Updates customer profiles using equipment, hours, or other information from the customer work orders
  • Opens work orders as directed by the Service Manager and maintain control until they are closed and invoiced
  • Run productivity and attendance reports for each technician each day and correct as needed
  • Prepares Tech Accountability and Analysis report at beginning of each month for each technician
  • Scan inspections and attach to proper customer file or stock number
  • Coordinate Customer Events and supplies
  • Process AOR changes as needed
  • Assist parts and sales departments as needed
  • Other duties as assigned by Management


Requirements:

  • Outstanding interpersonal and customer service skills
  • Ability to answer and transfer phone calls utilizing a multi-line phone system with paging capabilities
  • Basic Ag equipment knowledge would be helpful
  • General understanding of mechanical/technical terms would be helpful
  • Ability to write and speak effectively to individuals and groups
  • Exhibit positive and forward thinking skills
  • Ability to utilize standard desktop load applications such as Microsoft Office and Internet functions
  • Ability to sit for long periods of time
  • Ability to lift up to 25 lbs on a frequent basis
  • Candidate must have a valid driver’s license and clean MVR record
  • High School Diploma or equivalent experience required
